ORION ScanIT for MS SharePoint

• SCAN - the documents are converted to digital images;
• OCR - the images are converted to "Searchable PDF";
• VALIDATE - the documents are checked and meta-data can be added;
• STORE - the documents are send to a storage location.

Scanning is fast and efficient: batches of documents are fed in the scanner and converted to digital images with up to 150 images per minute, depending on your scanner. Barcode recognition is used to separate documents and to automatically capture metadata that can be exported to backend applications such as SharePoint.

OCR enables the digital image to be converted to digital text. The result is a so-called “Searchable PDF” document. Using the Windows Index Server and SharePoint’s full text searching capabilities, enables you to search for documents based on their content and to search for text in the document.

One very powerful feature from Orion ScanIT is the ability to access and use the SharePoint data and fields, such as Choice and Lookup list fields, directly from the validation form. This means that you have only one location to maintain static data and that any change. For example, adding a new department or project in SharePoint, will automatically become available for validation in Orion ScanIT.  

Another powerful feature is that metadata can be retrieved from or checked against your own existing SQL databases. You simple define a data source and a query to check a value or retrieve database data to populate fields in the Orion ScanIT validation form.  

Orion ScanIT also supports the use of Content Types for MS SharePoint 2007. It allows you to first select a Content Type for a document, after which ScanIT will dynamically display the specific metadata that are required for validation of that specific Content Type. No programming is required for these features: it can all be configured using the Orion ScanIT Wizard.    

The metadata that you capture or add during validation, can be exported to MS SharePoint or other backend applications. The metadata can be stored in SharePoint columns.   The scanned documents can be exported to the Microsoft® SharePoint® 2003 or 2007 server or any other local or remote server.

The documents are stored as Tiff, JPG, PDF, PDF/A or Searchable PDF in sites / libraries / folders. It is possible to determine the site, library, folder and name based on the document’s metadata.   Documents and metadata can be exported to multiple locations beside MS SharePoint. They can be e-mailed or stored on any local or remote server and metadata can be exported to csv or xml files.
